# Scheduled tasks

URL: https://docs.assistantcore.com/en/web-app/scheduled-tasks

Have the assistant do work for you on a schedule, such as a daily news summary, and review each run's results in the Web App.

A task is work the assistant does for you on a schedule, without you being there: "every morning at 7:00, summarize the top tech news", "every Monday at 9:00, help me plan my week". Each task has its own conversation, and every run posts its result there.

Open **Tasks** in the sidebar to see your tasks. A number next to it counts tasks with a new result.

## Before you start [#before-you-start]

* You are signed in. Tasks belong to your account and to this assistant; nobody else sees them.
* The assistant's owner has not turned scheduled tasks off. If they have, creating or running a task shows "Scheduled tasks are turned off for this assistant".
* Every run uses credits, like a chat message. See [Credits](/en/billing/credits).

## Create a task [#create-a-task]

### By asking in chat [#by-asking-in-chat]

Ask for something on a schedule in any chat, for example: `Every weekday at 18:00, remind me to review what I finished today.` The assistant creates the task and shows a card with its schedule and next run. Select **View task** on the card to open it.

On the **Tasks** page with no tasks yet, you can also pick one of the suggested ideas. It starts a new chat with the request filled in; send it to create the task.

### From the Tasks page [#from-the-tasks-page]

1. Select **New task**.
2. Enter a **Name** and the **Instructions**: what the assistant should do each time.
3. Choose how it **Repeats**, then the time and day.
4. Check **Next runs** to confirm the schedule, then select **Create task**.

| Repeats | Runs |
| --------------- | --------------------------------------------------------------------------------------------------------------------------- |
| **Once** | On one date and time |
| **Every day** | Daily at a time |
| **Weekdays** | Monday to Friday at a time |
| **Every week** | On one weekday at a time |
| **Every month** | On a day of the month at a time. Months without that day are skipped; choose **Last day** to run at the end of every month. |
| **Custom** | A five-field cron expression, such as `0 9 * * mon-fri` |

Times use the task's **Timezone**, which starts as your browser's.

### Limits [#limits]

| Limit | Value |
| ----------------- | ------------------- |
| Shortest interval | 1 hour between runs |
| Active tasks | 50 per assistant |
| Name | 200 characters |
| Instructions | 12,000 characters |

## Manage a task [#manage-a-task]

Select a task on the **Tasks** page to open it. The top shows its **Schedule**, **Next run**, and **Last run**.

| Action | What it does |
| ---------------------- | ------------------------------------------------------------------------------- |
| **Run now** | Runs the task once right away. The result appears in the task's conversation. |
| **Pause** / **Resume** | Stops or restarts the schedule. A paused task does not run until you resume it. |
| **Edit** | Changes the name, instructions, or schedule. |
| **Reschedule** | Gives a finished one-time task a new date so it runs again. |
| **Open conversation** | Opens the task's conversation (under **More actions**). |
| **Delete** | Stops the task for good. Its conversation and past results are kept. |

You can also ask the assistant in any chat to list, change, pause, resume, or delete your tasks. A task's own runs never create or change tasks.

<Callout type="warn">
Deleting a task's conversation also deletes the task.
</Callout>

## Results and notifications [#results-and-notifications]

Each run adds a **Scheduled task · `<name>`** marker and the assistant's reply to the task's conversation. You can reply there to follow up, like in any chat.

* **New result** marks a task whose latest result you have not opened yet.
* Turn on **Email me each result** to get each finished run by email, at your account's address.

## Run history [#run-history]

**Run history** lists each run with its status and a preview of the result. Select **View in conversation** to jump to that run.

| Status | Meaning |
| ------------------------ | ------------------------------------------------------------------------------------------------------------------- |
| **Queued** / **Running** | The run is waiting or in progress. |
| **Completed** | The run finished. |
| **Needs you** | Some actions are waiting for your approval, or an app the task needs is not connected. |
| **Needs review** | The run stopped part-way and may have done some of the work. Check the conversation before relying on it. |
| **Failed** | The run hit an error. The reason is shown under it. |
| **Cancelled** | The run was skipped, for example because it could not start within an hour of its time or because the task changed. |

A failed run never pauses the task; the next run happens on schedule. Runs can start up to a minute or two after their time, and only one of your tasks runs at a time.

## Approvals and connected apps in task runs [#approvals-and-connected-apps-in-task-runs]

A task runs while you are away, so it cannot ask you questions. It can use the assistant's tools, with these rules:

* Reading data and the assistant's built-in tools run normally.
* An action that changes data in another app is held for your approval, unless you allowed it earlier with "Don't ask again". The run finishes the rest of the work, and the held action waits in the task's conversation as an **Approval needed** card. The run shows **Needs you**.
* An action that deletes or overwrites data is held every time.
* Held actions expire after 24 hours. A new message in that conversation, including the next run, also expires them.
* If the task needs one of your [connected apps](/en/web-app/connected-apps) that is not connected, connect it from the card in the task's conversation. The next run uses it.

See [Approvals](/en/tools-mcp/approvals) for how approval rules work.

## Why a run failed [#why-a-run-failed]

| Message | What to do |
| -------------------------------------------------- | ----------------------------------------------------------- |
| Not enough credits to run this task. | Upgrade your plan or wait for your credits to refresh. |
| The run took too long and was stopped. | Split the instructions into smaller tasks. |
| The assistant hit an error while running. | Select **Run now** to try again, or check the instructions. |
| The run was interrupted by a restart. | Run it again with **Run now** if you need the result now. |
| You no longer have access to this assistant. | Ask the assistant's owner for access. |
| Scheduled tasks are turned off for this assistant. | Ask the assistant's owner. |
